Comprehensive mail storage
Comprehensive mail storage is a feature of Google Workspace that allows you to store all emails sent and received by users in your organization, including spam and deleted messages. This feature can be useful for compliance and legal purposes, as well as for archiving important emails.
Here are the general steps for enabling and using Comprehensive mail storage in Google Workspace:
1:- Sign in to the Google Workspace Admin console using an account with administrator privileges.
2:- Navigate to "Apps > Google Workspace > Gmail > Settings for Gmail > Compliance."
3:- Scroll down to the "Comprehensive mail storage" section and click "Edit."
4:- Turn on the "Enable comprehensive mail storage" setting.
5:- Configure the retention period for archived messages, which specifies how long
emails will be kept in storage before they are automatically deleted.
In the "Retention period" section, select the retention period for archived messages from the dropdown menu.
You can choose to keep archived messages for a specific number of days, months, or years.
You can also choose to keep archived messages indefinitely, which means they will not be automatically deleted. Click "Save" to save your comprehensive mail storage settings.
6:- If desired, configure the following options:
:- Show detailed archive status in Vault: This option allows you to view detailed
information about the status of archived messages in Google Vault.
:- Limit access to archived messages: This option allows you to limit access to
archived messages to specific users or groups.
:- Use custom message ID prefix: This option allows you to specify a custom
message ID prefix for archived messages.
7:- Click "Save" to save your comprehensive mail storage settings.
Once you have enabled Comprehensive mail storage, all emails sent and received by users in your organization will be archived and stored for the specified retention period. You can access the archived messages by using Google Vault, which is a tool for managing and searching archived data in Google Workspace.
It's important to note that Comprehensive mail storage is only available to Google Workspace Enterprise customers. Additionally, enabling this feature can increase your organization's storage usage and may result in additional costs if you exceed your storage quota.
