Things need to do before deleting a user account?

Delete the user

If a user departs from your organization, you can delete their account. Super administrators are authorized to transfer the user's files and data to a new owner in such cases. However, if you fail to transfer the data to another user, it will be permanently deleted. Moreover, you can delete multiple users' accounts simultaneously.


A deleted user can't access your organization’s Google Workspace services, and the system deletes their data.

Transfer data before you delete a user

    • Any administrator can transfer ownership of the user’s Drive files, including files in shared drives before the user is deleted.
    • If you’re a super admin and are deleting multiple users, you can export the users’ data using the Data Export tool.
    • You can let users export their own data:
      • Allow Google Takeout for users. 
      • Have your users download their data.
    • You can direct the user’s email to another user or an email alias so that you don’t miss important messages.
Transfer user email data:
    • If you want to transfer a user's email to another account, do it before you delete the account. If you don’t, their email will disappear, and you can't retrieve it. Steps for data migration. 

Transfer data during user deletion

  • If you're a super admin, you can transfer the files to another user. 
  • You can include files that aren't shared with anyone. If you don't select this option, unshared files might be transferred if they’re in a shared folder.
  • Files in shared drives aren't transferred. Your organization owns these files, not the users. 
  • Data can’t be transferred for a user on hold, regardless of the service that caused the hold.

Steps to delete one or more files:

  1. Sign in to your Google Admin Console.
  2. Click Menu >> Directory >> Users.


   3.   In the Users list, find the user. Point to the user you want to delete and click More options >> Delete the user

   4.   Depending on your privileges as an admin, choose an option:
    1. Delegated admins—To confirm that you understand the impact of deleting the account, check the boxes.
    2. Super admins—To transfer ownership of user content:
      • If you don't want to transfer the user's data, next to Data in other apps, select Don't transfer data.
      • If you do want to transfer the user's data:
      1.  Next to Data in other apps, select Transfer.
      2.  In the Search for a user field, enter the name or email address of the user to whom you want to transfer the files deleted user’s files.

   5.   Under Select data to transfer, check the boxes next to each option you want.

 

   6.   Click Delete User 

 

The deleted user's account will be suspended until the data transfer is complete, and once the transfer is done, the account will be deleted, and the user who received the transferred files will be notified via email.

Note: It's important to note that when you delete a user account in Google Admin Console, you'll be prompted to transfer ownership of any files owned by the user to another user in your organization. Additionally, if the user was assigned to any groups, you'll need to reassign their group memberships to another user as well. It's important to carefully review and manage these details to ensure that there are no disruptions to your organization's workflow or data access.
