Turn the working location on or off for users


Your users can share the locations they’re working from based on a weekly routine, as well as one-time locations. You can turn this feature off, which deletes any already-existing locations. 

  • In the Admin console, go to Menu > Apps > Google Workspace > Calendar.
  • Click Sharing settings.

  • Click Working location.

  • To apply the setting to everyone, leave the top organizational unit selected. Otherwise, select a child organizational unit.
  • Check or uncheck Allow users to set their daily working location.

  • Click Save. If you configured a child organizational unit, you might be able to Inherit or Override a parent organizational unit's settings.

If you turn the working location off, it may take up to 36 hours to remove the working location feature and delete user working locations.


How working locations look

Working location currently only appears on Calendar surfaces, not in the Directory profile. If you:

  • Turn working locations off→Others still see a Main office location section, which you control with a different setting.
  • Keep working locations on→People with free or busy access to a calendar’s events see working location names on that calendar. 

Invite users to set working location

As an administrator, you can display a banner in Google Calendar to invite users in your organization to set their working location. Having users set their working location can help everyone coordinate in-office time with others. You can customize the message users see in the banner. You can also link users to the Calendar Help Center to help them set up their working location in Calendar.

Steps to turn the working location banner on

Before you begin: Make sure the working location feature is turned on.

  • In the Admin console, go to Menu > Apps > Google Workspace > Calendar.
  • Click Sharing settings.
  • To apply the setting to everyone, leave the top organizational unit selected. Otherwise, select a child organizational unit or a configuration group.
  • Click Working location and check the Calendar shows a banner to users who haven`t set their working location box.

  • For Banner frequency, choose an option:
    • The banner appears until the user sets their working location —If you choose this option, your users will see the banner until they set a default working location.
    • The banner appears until the user dismisses it.
    • Dismissible but repeats after the following number of days until the working location is set—Enter a number between 1 and 180.
    • For Banner text, choose an option:
    • "Set your working location. Required by your organization to help with hybrid work."
    • "Set your working location. Recommended by your organization to help with hybrid work."
    • "Set your working location. Make it easier to connect with colleagues and get the rooms you need."
    • Write a custom message—Enter a message with up to 100 characters.
    • For Learn more link, choose an option:
    • Links to Set your default working location (steps for users).
    • Custom destination—Enter a URL to link to.

  • Click Save. If you configured an organizational unit or group, you might be able to either Inherit or Override a parent organizational unit, or Unset a group.
